Welcome to AggieBudget Training

AggieBudget training modules make it easier for you to get the training you need (and skip what you don’t need). Below is a guide to the training modules designed to prepare you for your AggieBudget role(s). Each module is between 15 and 40 minutes long.

Please note: 
You must be a registered AggieBudget user to access the system and training environment. If you are not a registered user, please ask your Department Admin to submit a New User Form.
 


Required Training Modules by AggieBudget User Access Role

Each course corresponds to one or more Aggie Budget User Access Role(s). Please review the training requirements below for each role and click course names for more details.

User Access Role: Department Administrator

Now available in the UC Learning Center
An AggieBudget Department Admin authorizes new users and requests user changes within their Org by submitting New User Request Forms. The AggieBudget team will assign training to new users in the UC Learning Center as needed for their roles; training will be available in "My Learner Dashboard" under Current Training.

Required Course:
  • Department Administrator Training
  • AggieBudget Department Administrator Training is required for AggieBudget users acting as their unit’s Department Administrator. After completing this online course, users should be able to describe the responsibilities of a Dept Admin, describe the AggieBudget security model, choose the best user access role for other AggieBudget users within their unit, and know where to find and how to submit user access requests.
    Department Administrators are required to take this training to ensure they understand their responsibilities and the crucial role they play in the system’s security model. Use the link below to go directly to the course.

User Access Role: Plan File Manager

A Plan File Manager is responsible for setting up the Org and Account structure for Plan Files. The required training for new users currently consists of the training slide deck and the Plan File Manager Job Aid, both available in the Help Documents in AggieBudget. See below for details and links.

Required Courses:
  • Orientation and Plan File Manager Training
  • Instructor-led training is not currently offered for users assigned the Plan File Manager role. Instead, you will need to review the Orientation and Plan File Manager Training slide deck, which provides an overview of the AggieBudget system and guides Plan File Managers in using this tool. Users will become familiar with the two types of plan files used in creating the annual budget and how they are populated and organized. They will learn where to access the Plan File Manager tool and how to use it to manage the planning levels in their plan files, in more or less detail, according to options they choose in the web-based Plan File Manager. The Plan File Manager Job Aid will be a useful guide as you start to use the tool. Additional details may be provided by your unit regarding how they expect you to manage plan files.

User Access Roles: Plan File Editors (Labor and Operating)

A Labor Plan File Editor reviews and updates labor data in Labor Plan Files. An Operating Plan File Editor reviews and updates data in Operating Plan Files. There are two online training modules, one for Labor Plan File Editors and another for Operating Plan File Editors. See each course name for direct links to the online training modules.

Required: Users with one or both of these roles will be assigned required online training in the UC Learning Center (LMS).

  • Online Labor Plan File Editor Training
  • Required online training for users granted the Labor Plan File Editor role. AggieBudget system overview and introduction to Labor and Operating plan files. Users will learn how data is populated and organized, how to edit and how to enter information in their unit’s labor plan files (in Personnel, OtherComp and Salary Savings sheets). Please note: Editors with prior experience who want a refresher can complete the online training at any time.

  • Online Operating Plan File Editor Training
  • Required online training for users granted the Operating Plan File Editor role. AggieBudget system overview and introduction to Labor and Operating plan files. Users will learn how data is populated and organized, how to edit and how to enter information in their unit’s Operating plan files (in Planning and Commitments sheets). Please note: Editors with prior experience who want a refresher can complete the online training at any time.

Recommended Training by AggieBudget User Access Role

User Access Roles: Plan File Viewer (Labor and Operating)

A Labor Plan File Viewer can see what data has been entered into the Labor Plan Files, but cannot edit it. An Operating Plan File Viewer can see the data entered into the Operating Plan Files, but will not be able to edit anything in the plan files.

We suggest watching the brief videos at Navigating AggieBudget to get oriented. Those who want more in-depth training may also want to complete the online Plan File Editor trainings; reports training is also recommended.

  • Required online training for users granted the Labor Plan File Editor role. AggieBudget system overview and introduction to Labor and Operating plan files. Users will learn how data is populated and organized, how to edit and how to enter information in their unit’s labor plan files (in Personnel, OtherComp and Salary Savings sheets).
  • Online Operating Plan File Editor Training
  • Required online training for users granted the Operating Plan File Editor role. AggieBudget system overview and introduction to Labor and Operating plan files. Users will learn how data is populated and organized, how to edit and how to enter information in their unit’s Operating plan files (in Planning and Commitments sheets).
  • Running and Filtering reports 
  • Learn how to access, navigate, and export reports using the AggieBudget Report Library. See the AggieBudget Reports Basics video in our Navigation section. Videos and several reports job aids are also available in our Help Documents, once you log into the AggieBudget system.

User Access Role: Reports Viewer (Operating and Labor)

A Reports Viewer can run and export reports from AggieBudget using any web browser. We suggest Reports Viewers watch the brief videos at Navigating AggieBudget to get oriented. Those who want more in-depth training may also complete the online Plan File Editor trainings described above. Additional resources are available in Help Documents in the AggieBudget system. Note the additional resources on this page (e.g., Budget Monitoring Tools) as well as the User Group Meeting materials, which often include reports tips and news.
